Privacy Policy for job applications at Scalepoint:


Scalepoint A/S (”Scalepoint”), Aldersrogade 8, 2100 Copenhagen Ø, CVR. nr. 38307347 is responsible for the processing of personal data collected in connection with applying for a job at Scalepoint.
Scalepoint’s collection and processing of your personal data in connection with a job application is subject to the terms in this privacy policy.

1. What kind of personal data is collected and processed: 
When applying for a job at Scalepoint, the following information will also be collected:

  • Contact information (address, phone number, e-mail, etc.)
  • Work experience (CV & qualifications, ect.)
  • Education and qualifications (grades, academic transcripts, ect.)

If you proceed in the recruitment process, the following personal data will also be collected:

  • Information from interviews and tests
  • References
  • Criminal record

2. Purpose for for collecting and processing personal data:
  1. Scalepoint is collecting and processing your personal data for the purpose of assessing your qualifications and suitability for the position you have applied for as well as being able to contact you during the recruitment process.

3. What the personal data is used for: 
In connection with applying for a job at Scalepoint, your personal data will be used for the following:

  • Processing and evaluation of the application
  • Communication with the applicant throughout the application process
  • Verification of the applicant’s qualifications and references
  • Conducting job interviews and tests
  • Ensuring Scalepoint’s compliance with applicable legislation

4. Legal basis for processing personal data 
The processing of your contact information, qualifications, and tests is based on General Data Protection Regulation article 6(1) (f) (legitimate interest) and, where relevant, article 6(1) (b) (processing is necessary to take steps prior to entering into a contract).

Our legitimate interest for lies within being able to have an effective and relevant recruiting process.

As a part of the recruitment process for certain positions, we ask applicants to provide Scalepoint with their criminal record for a check. This occurs when the position involves access to a significant amount of confidential and sensitive information, including information subjected to confidentiality under the Danish Insurance Business Act. Processing is based on Section 8(3) in the Danish Data Protection Act because it is necessary to safeguard our legitimate interest in protecting confidential information, maintaining our customer’s trust, and minimizing the risk for misuse or unauthorized disclosure. This interest is considered to clearly outweigh the data subject's interest in not having the information in their criminal record processed.

Criminal records are not stored or saved in our systems. It is reviewed solely for the purpose of assessing its relevance to the specific position and is documented as reviewed and deleted immediately hereafter. Only relevant HR- and management representatives who need to know the information have access to the criminal record. 

References are only collected verbally. Nothing is recorded electronically, and no data is entered into a filling system which means this processing is not subjected to GDPR according to Article 2(1). However, the applicant is always informed and asked for consent before a reference is collected.

5. Sharing of personal data:  
The collected personal data is registered with Scalepoints data processor Personio GmbH, which provides the HR system we use to manage job applications.

Apart from Personio, the applicant’s information is not shared with others unless we are legally obliged to disclose it, e.g., to the authorities.

An application is reviewed by the person at Scalepoint who is looking for new employees. In addition, our HR employees will have access to the application in our HR system.

6. Duration of processing and retention: 
An application is automatically deleted after 90 days in our system.

If hired, the registered personal data will become a part of your employee records.

7. Security measures: 

Scalepoint secures the collected personal data through both technical and organisational security measures aimed at protecting the personal data against unauthorised access, manipulation, description/deletion, or loss.

8. Rights 
As a data subject, you have the following rights: 

  • Access to information about which of your personal data is registered by Scalepoint

  • Right to have incorrect information about you registered by Scalepoint corrected

  • Right to have information deleted when the registration is no longer necessary for the fulfilment of the purposes in point 3 and is not prevented by a task/obligation incumbent on Scalepoint pursuant to Danish or EU legislation

  • Access to have the information you have provided to Scalepoint delivered or forwarded to you in a structured, common, and machine-readable format, possibly by e-mail.

9. Changes to the privacy policy 
This privacy policy may be adjusted by Scalepoint on an ongoing basis to comply with the at any time applicable personal data regulations.

Scalepoints indsamling og behandling af personoplysninger i forbindelse med en jobansøgning er underlagt vilkårene i denne Privatlivspolitik.

1. Hvilke personoplysninger indsamles og benyttes: 
Når man søger et job hos Scalepoint, vil vi altid indsamle følgende oplysninger:

  • Kontaktoplysninger (adresse, telefon, e-mail osv.)
  • Erhvervserfaring (CV, kvalifikationer m.v.)
  • Uddannelse og kvalifikationer (karakterer, akademiske udskrifter osv.)

Hvis man kommer videre i processen, vil følgende oplysninger blive indsamlet:

  • Information fra samtaler og tests
  • Referencer
  • Straffeattest

2. Formålet med indsamling og behandling:
Vi behandler disse oplysninger med det formål at vurdere dine kvalifikationer og egnethed i forhold til den stilling, du har søgt, samt for at kunne kontakte dig i forbindelse med rekrutteringsforløbet.

3. Hvad bruges de indsamlede personoplysninger til: 
I forbindelse med en jobansøgning hos Scalepoint, bruges personoplysninger til følgende:

  • Behandling og vurdering af ansøgningen
  • Kommunikation med ansøger igennem ansøgningsprocessen
  • Verificering af ansøgers kvalifikationer og referencer
  • Afholdelse af samtaler og tests
  • Sikring af overholdelse af gældende lovgivning

4. Grundlaget for behandling af personoplysninger
Behandlingen af kontaktoplysninger, kvalifikationer og tests sker med hjemmel i databeskyttelsesforordningens artikel 6, stk. 1, litra f (legitim interesse) og, hvor det er relevant, artikel 6, stk. 1, litra b (behandling nødvendig for at gennemføre foranstaltninger forud for en kontrakt).

Vores legitime interesse består i at kunne gennemføre en effektiv og relevant rekrutteringsproces.

Som led i rekrutteringsprocessen til visse stillinger beder vi ansøgere om at fremlægge en straffeattest. Det sker, når stillingen indebærer adgang til et betydeligt omfang af fortrolige og personfølsomme oplysninger, herunder oplysninger underlagt tavshedspligt i henhold til lov om forsikrings virksomhed.

Behandlingen sker med hjemmel i databeskyttelseslovens § 8, stk. 3, da det er nødvendigt for at varetage vores legitime interesse i at beskytte fortrolige oplysninger, sikre tillid hos kunder og samarbejdspartnere samt minimere risikoen for misbrug eller uautoriseret videregivelse. Denne interesse vurderes klart at overstige hensynet til den registreredes interesse i ikke at få behandlet disse oplysninger.

Straffeattesten arkiveres ikke og bevares ikke i vores systemer. Den gennemgås udelukkende med henblik på at vurdere relevansen i forhold til den konkrete stilling og slettes/dokumenteres som gennemset umiddelbart herefter. Kun relevante HR- og ledelsesrepræsentanter med behov for at kende oplysningerne har adgang til dem.

Indsamling af referencer sker kun mundtligt. Intet nedskrives elektronisk, og ingen data indgår i et udfyldningssystem, hvorfor behandlingen heraf ikke er omfattet af GDPR jf. GDPR artikel 2, stk. 1. Ansøgeren informeres og spørges altid inden indsamlingen af ​​referencen.

5. Deling af dine personoplysninger: 
De indsamlede informationer registreres hos vores databehandler Personio GmbH, som leverer det HR-system, vi bruger til at håndtere ansøgninger.

Udover Personio bliver ansøgerens oplysninger ikke delt med andre, medmindre vi er juridisk forpligtede til at videregive oplysningerne til fx. myndigheder. 

En modtaget ansøgning bliver gennemgået af den person hos Scalepoint, som leder efter nye medarbejdere. Derudover vil vores HR-ansatte have adgang til ansøgningen i systemet. 

6. Varighed af behandling og opbevaring: 
En ansøgning slettes automatisk efter 90 dage i vores system.

Hvis man bliver ansat, vil de registrerede personoplysninger blive en del af ens medarbejderoplysninger.

7. Sikkerhedsforanstaltninger: 
Scalepoint sikrer de indsamlede personoplysninger gennem såvel tekniske som organisatoriske sikkerhedsforanstaltninger med henblik på at beskytte oplysningerne mod uvedkommendes adgang, manipulation, destruktion/sletning eller tab af oplysninger. 

8. Rettigheder
Som registreret har du følgende rettigheder:

  • Adgang til at få oplyst hvilke af dine personoplysninger, der er registreret af Scalepoint

  • Ret til få berigtiget urigtige oplysninger om dig registreret af Scalepoint

  • Ret til at få slettet oplysninger, når registreringen ikke længere er nødvendig for opfyldelse af formålene i pkt. 3 og ikke forhindres af en opgave/pligt, der påhviler Scalepoint i medfør af dansk eller EU-lovgivning

  • Adgang til at få udleveret eller fremsendt de oplysninger, du selv har afgivet til Scalepoint i et struktureret, almindeligt og maskinlæsbart format, evt. per e-mail.

9. Ændring af privatlivspolitik 
Nærværende privatlivspolitik vil løbende kunne blive justeret af Scalepoint for at efterleve de til enhver tid gældende persondataregler.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. In addition, processing this data is absolutely necessary under security aspects, in particular for access, input, transfer, and storage control. Furthermore, this anonymous information can be used for statistical purposes and for optimizing services and technology. In addition, the log files can be checked and analyzed retrospectively when unlawful use of the software is suspected. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. Generally, data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp of the access to the software is collected. The scope of this log process does not exceed the common log scope of any other site on the web. These access logs are stored for a period of up to 7 days. There is no right to object to this.

Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies

So-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”). On this recruitment website, we generally use only cookies that are absolutely necessary, functional or performance-related, in particular for implementing certain default settings such as language, for identifying the job advertising channel, or for analyzing the performance of a job advert via which a user accessed this recruitment website. If the personal data is processed with your consent, you have the right to withdraw this consent under article 7 III of the GDPR. Personio reserves the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the services offered, for example when new services are introduced.
